How to Pass REI Software Form Fills into Smith.ai for Outbound Calls

Our Zapier integration helps business owners save time by automating processes that are typically done manually.

This guide will walk you through connecting REI Software and Smith.ai via Zapier.

In doing so, website leads who complete a form from REI Software will receive a call back through Smith.ai.

Prerequisites

To use a Zapier integration to connect REI Software and Smith.ai, you will need:

  • A premium Zapier account
  • A Smith.ai account
  • Your Smith.ai API key
  • An REI Software account

Request an Outbound Call to a Lead from REI Software Forms using Smith.ai

  1. Sign up for a premium Zapier account. If you already have one, log in.
  2. Click "Create Zap" in the upper left corner.
  3. Name your Zap. Here's an example: "Connect REI Software to Smith.ai."
  4. In the App event search bar, type in "Webhooks." Click on the option that appears labeled "Webhooks by Zapier."
  5. For the trigger event, choose "Catch Hook."
  6. Leave blank the field titled "Pick off a Child Key." Just click continue.
  7. Your webhook URL will be produced. Copy that webhook URL.
  8. Toggle to a new window.
  9. Sign into your REI Software. Then click the "Automation" tab in the left-hand column.
  10. On the right-hand side, click the button that says "Create workflow."
  11. Select the workflow type called "Start from scratch."
  12. Then click the green "Create new workflow" button to proceed.
  13. Click on the pencil icon and name your workflow. An example could be "Frontpage Form Webhook To Smith.ai "
  14. Click "Add New Workflow Trigger."
  15. Search "form" in the search bar and click on the "Form Submitted" option.
  16. Name your workflow trigger. It can be the name of the form.
  17. Then add a filter for "Form is" and select the form that you are connecting to Smith.ai. It is recommended that you create and use a new/unique form specifically for this connection.
  18. Click on the + button to add an Action.
  19. In the search bar, type "webhook" and click on the Webhook option that appears.
  20. Under Webhook, make sure the method is "Post" and then paste your webhook URL from Zapier in Step 7 into the URL field. Then click the green button titled "Save action."
  21. In the upper right corner, click "Publish" to turn the workflow on. Then select "Save" to save the workflow.
  22. Toggle to a new window. Find the form on your website that you are using for this connection and submit a test.
  23. Toggle to your original window that has Zapier open.
  24. Below your webhook URL, click on the button that says "Test trigger"
  25. Verify the information has come through successfully from your test form fill. Then click "Continue."
  26. Next, click on your Action.
  27. In the App event search bar, type in "Smith.ai." Click the option with the orange logo.
  28. For the trigger Event, click "Call Someone (Virtual Receptionist)."
  29. Connect your Zapier account to your Smith.ai account. You'll need to add your API key when prompted. You can get your API key in your Smith.ai Call Dashboard under Integrations. Further instructions on how to connect Smith.ai to Zapier can be found here.
  30. Select "Yes, Continue" after inserting your API Key.
  31. Select your Smith.ai account from the dropdown and hit Continue again.
  32. Under Set up action, map your fields by pairing data with what is being sent from your REI Software form. This could include first name, last name, phone number, etc.
  33. In the "What should we do?" required field, include instructions for the Smith.ai receptionists who will be making the call. Here's an example: "Gather their email and mailing address so we can send marketing information."
  34. In the "What if they don't answer" field, include instructions for the Smith.ai receptionists for if the customer doesn't pick up the phone.
  35. Complete the final required field "When would you like us to call back?" This can be based on your Smith.ai default settings, or you can choose the option for 24/7 (i.e. whatever time the form submission comes through).
  36. Once you finish mapping your fields, select "Continue."
  37. In the "Test action" section, select "Skip test."
  38. Once you have confirmed all of the Zap details, publish your Zap to turn it on.

All leads who complete form fills through REI Software will now be called back by Smith.ai Virtual Receptionists and logged in your Smith.ai account.
